Smart Inventory, Safer Care

How ARC Vets Transformed Their Practice
with CUBEX® Smart Technology

Veterinary hospitals operate in a constant state of readiness—managing complex caseloads, ensuring timely treatment, and maintaining access to life-saving medications and supplies. At ARC Vets in Auckland, New Zealand, the team knows this reality well. Their ability to deliver specialist and emergency care is enhanced through the use of smart veterinary technology — which plays a critical role in improving outcomes for patients and streamlining day-to-day operations.

Independent, family-owned, and operating 24/7 across two state-of-the-art veterinary hospitals in Rosedale and Freemans Bay, ARC Vets provides a broad range of specialty and emergency services. From internal medicine and surgery to oncology, neurology, cardiology, dermatology, and even hydrotherapy, the scope of their work demands clinical excellence and seamless operational systems.

The Challenge: Managing Growth and Complexity

As ARC Vets grew, so too did the complexity of their operations. With more team members accessing medications—particularly controlled drugs—the risk of discrepancies increased. Manual inventory tracking became more time-consuming, and the team began noticing discrepancies: medications taken without proper documentation, challenges with expiry tracking, and inconsistencies in billing and reordering.

Managing Director Dr Fiona Park, explains, “We didn’t really have any sort of formal inventory management system. It was basically just having a look at the cupboard and ordering based on what seemed to be there, and we weren’t tracking expiry dates.

They needed “a system that controlled all… aspects of inventory management… not just controlled drugs.”

It wasn’t just about managing stock—it was about patient safety, compliance, and reducing the cognitive load on a busy clinical team. ARC Vets needed a smarter, integrated solution.

The Solution: CUBEX® Implementation with Therian

Therian was engaged by ARC Vets to implement CUBEX®, a secure, automated medication and inventory management system designed specifically for veterinarians. From consultation and installation to team training and ongoing support, Therian guided ARC Vets through every step of the implementation and training.

“I really liked the idea of [CUBEX®] because of the controlled drugs aspect, keeping a better handle on tracking the drugs,” Dr Park notes. “Once we got talking [with Therian], I also came to understand that it could help in a larger way with our inventory management and our charge capture for inventory items.”

The implementation spanned both Auckland locations, with Therian providing responsive remote support from Australia—something Dr Park says made all the difference. “Therian are quite hands-on with us and provide quite a lot of support, from the sales support through to post-implementation. Even though they are located in Australia and we are in New Zealand, they’re really responsive when we have an issue.”

The team at ARC Vets appreciated the ongoing training and support that the Therian team provide for new team members, at both sites, and the value they provide with their equipment “they invest time and effort into ensuring that we’re getting the value out of them that we need for the investment.

The Impact: More Control, Better Outcomes

Since installing CUBEX®, ARC Vets has seen measurable improvements in clinic operations and healthcare outcomes.

  • Reduced medication errors: With automated tracking and secure access, staff now access the correct medication and dose easily every time.
  • Autonomous inventory control: Real-time data helps the team make informed decisions about reordering and stocking levels – taking the guess work out.
  • Increased visibility: Managers can access dashboards remotely, checking inventory levels or usage patterns from any location.
  • Time savings: Automated reporting has made stocktakes faster and more accurate, and improved the day to day running of the clinic.
  • Improved patient safety: With fewer errors and better access to necessary medications, patient care has become even more efficient and consistent.

“After using CUBEX® for a while, we’ve noticed we have a better sense of awareness of our inventory management. We have more data to look at and we’re reviewing our inventory levels of different items more regularly. In terms of the patient safety, what we’ve noticed is it does reduce the number of errors… Our management team can log in from wherever they are and… can use the data to look at our mins and maxes… We can generate accurate reports any time on what stock we have on hand.”

A Smarter Way to Run a Veterinary Hospital

CUBEX® has become an essential part of ARC Vets’ operations—not just as a tool for managing stock, but as a strategic system supporting clinical excellence.

“Yes, I would recommend CUBEX®. From the business management and inventory management side, I would consider a CUBEX® an essential part of running a veterinary hospital.”
